Keep visitor arrivals in the campus record

Expected visitors, camera arrivals, and front desk check-ins share one view, with the source and time behind each presence record.

The pass moves to On site as the camera reads the visitor’s vehicle coming in, and to Left as it goes.

The front desk needs to distinguish a visitor who is expected from one who has arrived. Security staff need the same information. Veramast keeps the pass and the arrival together, including manual check-ins for people who walk in.

Register the visit

Staff record the visitor, the vehicle where there is one, the host, and the dates. A pass can be prepared before the visit. Visitors today shows who is expected, who is on site, the arrival time, and when each pass ends.

Illustrative visitor states through a day: Expected, On site, Left, and Expired. Invented data.

Show what was observed

A camera read of the vehicle entering changes an expected pass to On site. A departure read changes it to Left. Staff can check someone in or out by hand. Those observations also appear in On campus now, with their time and source.

An open stay is not proof someone is still there

#

A missed departure can leave a stay open. Veramast uses Aged out when the campus’s timeout closes it, rather than claiming the person was seen leaving. Staff can inspect and correct presence when they have better information.

That distinction matters for Vio as well as the front desk. Cases use the campus’s observations and rules; a presence record is evidence with limits, not a guarantee of a person’s current location.
